Job Summary:
We are looking for a dedicated Finance and Grants Manager to join our leadership team! Reporting directly to the Executive Director, you will play a crucial role in managing our day-to-day accounting and payroll transactions. Your responsibilities will include keeping our financial records updated and accurate, preparing insightful reports, and reconciling accounts. You'll ensure compliance and reporting for both government contracts and private grants.
In collaboration with the Executive Director, you will help build and manage streamlined systems that encompass financial accounting, compliance, and internal controls, with the assistance of a contracted CPA. Your expertise in accounting procedures and financial analysis will be key to ensuring that our daily accounting operations run smoothly, accurately, and transparently. This is a full-time, exempt position.
This role is remote, with the requirement to visit Aberdeen, WA, every six weeks.
Orientation and onboarding will include a one-week session in Aberdeen, WA.
Supervisory Responsibilities:
This position does not have supervisory responsibilities.
Responsibilities:
Prepare and maintain accurate accounting documents and records.
Ensure the integrity and structure of the organization's accounting system.
Supervise accounts payable to guarantee accurate coding and timely payments.
Manage accounts receivable, including understanding program contracts and budgets, preparing invoices, and recording transactions and receipts.
Prepare and record monthly grant invoices.
Record payroll in QuickBooks and reconcile third-party payroll reports.
Perform monthly balance sheet account reconciliations, researching and resolving discrepancies as needed.
Proactively manage cash flow, including receivables, payables, collections, and banking activities.
Prepare for and participate in monthly grant billing review meetings.
Generate fiscal reports monthly, ensuring they are submitted by the due date.
Follow established standards, procedures, and applicable laws.
Identify and communicate opportunities for financial process improvements.
Oversee the office manager's accounting functions.
Support external audits by gathering requested information, preparing schedules, and responding to auditor inquiries.
Collaborate with the Executive Director and leadership team to prepare the annual organization budget and grant-specific budgets.
Work closely with the contracted CPA to meet internal and external financial and regulatory filing deadlines.

Education and Experience:
Bachelor's degree or equivalent in Accounting, Business Administration, or a related field preferred.
A minimum of 5 years of accounting experience.
Proficient in QuickBooks Online or a similar accounting system.
Competent in Microsoft Office, Google Suite, or related software.
Experience with government grant requirements is preferred.
Excellent communication skills, with a strong focus on organization, accuracy, and attention to detail.
Physical Requirements:
Ability to sit for prolonged periods at a desk and work on a computer.
Must be able to lift up to 15 pounds occasionally.
